Billing, plans, and seats
How the free trial ends, what counts as a seat, what happens when you add or remove a host mid-month, and how to cancel.
Neos Meet bills per seat, monthly or yearly, through Stripe. This page covers what a seat actually is, how the free trial ends, what happens when a payment fails, and how to cancel — with the real mechanics rather than a summary.
Plans and prices
- Free — $0. No card, no expiry. Unlimited event types, unlimited 1-on-1 bookings, one shared team link with up to 3 hosts, reminders, and custom booking questions.
- Pro — $5 per seat per month billed yearly, or $6 billed monthly.
- Team — $8 per seat per month billed yearly, or $9 billed monthly.
- Scale — $12 per seat per month billed yearly, or $14 billed monthly.
The full feature breakdown lives on the pricing page, and the same table appears inside the app at Settings → Billing with your current plan marked. Switching between monthly and yearly is a choice you make at checkout.
The free trial
A paid plan starts with a 14-day free trial and no credit card required. You get the paid features immediately; nothing is charged and no card is stored.
What happens on day 14 depends on one thing — whether a payment method is on file:
- No card added
- The subscription cancels itself. You are not invoiced, not chased, and not left owing anything. Your account simply returns to the Free plan, with all your event types, links, and bookings intact.
- Card added during the trial
- The first invoice is charged on the day the trial ends and the subscription becomes active. Add a card from Settings → Billing whenever you decide to continue.
Around three days before the trial ends we email you a reminder that says which of those two outcomes is currently heading your way, so the end of a trial is never a surprise.
What counts as a seat
A seat is a distinct host across your active team links. Concretely:
- You are always at least one seat, even with no team links at all.
- Your personal 1-on-1 event types never add seats, however many you create.
- Each person in a team-link host pool is one seat, counted once no matter how many of your team links they appear on.
- Invitees are never seats. People booking you are not billed, ever.
Adding or removing a host mid-cycle
Seat changes are applied to your live subscription as they happen — including when someone accepts a team invite. Stripe prorates: adding a host part-way through a cycle charges the remainder of that period, removing one credits it back against your next invoice. A daily reconciliation job re-checks that the quantity Stripe holds matches the hosts you actually have, so a transient failure cannot leave you over- or under-billed indefinitely.
Removing a host frees their seat immediately for counting purposes, but note that it does not cancel meetings already booked with them — see Team links and round-robin.
Tax and invoices
- A billing address is required at checkout; VAT, GST, or sales tax is calculated from it and shown before you confirm.
- If your business has a VAT or GST registration number you can enter it at checkout, and Stripe applies whatever treatment your jurisdiction requires.
- Invoices and receipts are listed at Settings → Billing, and the full history — plus your address and tax details — is in the billing portal behind Manage billing.
When a payment fails
A declined renewal puts the subscription into past due. Stripe retries the card automatically over the following days, and we email you. During this period:
- You keep your paid features for 14 days from the moment the account went past due — booking pages, team links, and host pools carry on working while you sort the card out.
- Update the card from Settings → Billing → Manage billing. As soon as a payment succeeds, the account is restored to active with no further action.
- After 14 days without a successful payment, the account resolves to the Free plan. Nothing is deleted — you are simply back on free-plan limits.
A subscription Stripe marks as unpaid or canceled drops to Free immediately, without the grace window.
Cancelling
- Go to Settings → Billing and open Manage billing. This is Stripe's billing portal, where your payment details actually live.
- Cancel the subscription there.
- You keep paid features until the end of the period you have already paid for. After that the account returns to Free.
Cancelling never deletes anything. Your handle, event types, availability, team links, and booking history all survive. What changes is what you can do going forward: booking pages show the "Powered by Neos Meet" mark again, and free-plan limits apply to team links and host pools from that point on.

Deleting your account
Cancelling a subscription and deleting an account are different things. Cancelling drops you to the free plan and leaves your booking page, links, and history intact. Deleting removes the account itself.
To delete, go to Settings → Data & privacy. It is self-serve, immediate, and cannot be undone: it cancels any active subscription, cancels your upcoming meetings and emails your invitees, and revokes our access to your Google account. Paid invoices are retained because tax law requires it. Export your data from the same panel first if you want a copy.
